Cruise Ship Accommodations

The deadline for full payment and completion of reservations remains October 25, 2009 for existing reservations.

The Government of the Republic of Trinidad and Tobago has engaged two cruise ships to ensure that all those attending the Commonwealth Heads of Government Meeting have comfortable and convenient accommodation close to the Hyatt Regency Hotel, the main conference venue for the meeting.

Two ships, the Serenade of the Seas and the Caribbean Princess, will be berthed for the duration of the Meeting in the Port of Port of Spain within walking distance of the Hyatt Regency Hotel. A shuttle service will be provided from the ships to the main conference venue.

Cruise ship housing and reservations are similar to the hotel housing and reservation process however the ships have some different requirements and policies.

Reservations must be made in advance to guarantee accommodation and avoid processing delays. No one will be allowed on the ships without a reservation and full-payment.

Rooms on both ships will be available to Country Delegations. The Commonwealth Business Forum participants will be accommodated on the Serenade of the Seas, while media representatives will be accommodated on the Caribbean Princess.

Delegation Reservation and Payment Deadlines – REVISED AS OF OCTOBER 26, 2009

Reservations for rooms on the cruise ships can be made on-line, by fax or by phone. Please note the following:

All reservations must be requested by November 6, 2009. In order to hold the reservation a form of payment must be identified and a deposit of 20% be made. Rooms without deposits will be released after November 6, 2009;
For any reservations that are cancelled after November 6, 2009, this 20% deposit will be forfeited.
Names and full payment by all acceptable methods must be received by November 16, 2009 for NEW reservations;
Acceptable methods of payment include: Certified Cheque, Wire Transfer and Credit Card (Visa, MasterCard, and American Express);
The online reservation system will be closed after October 25, 2009 for reservations received prior to this date and as such Delegation Secretaries will be allowed to view reservations online but not make any modifications to the reservations;

Media/Other Reservation and Payment Deadlines/Cancellation Policy

For any reservations that are cancelled after November 6, 2009, the 20% deposit will be forfeited;
Cancellations after November 16, 2009 will forfeit 100% of payment;

Reservations for rooms not paid in full by October 25, 2009 will be released and deposit will be forfeited.

Room Descriptions and Prices:

Both the Serenade of the Seas and the Caribbean Princess are considered to be four-star hotels. Rooms are available in Categories A-G with comparable features on both ships. There is also a special category on each ship which features grand suites.

Listed below are some features of cruise ship housing:

Room Size: The average cruise ship stateroom is a compact version of a hotel room with all the same furnishings: dresser drawers, closet, bed, nightstand, dressing table and bathroom. Suites have a sitting area.

Occupancy: Rooms may be single or double occupancy. There will be a maximum of 2 persons per room. Each person must present confirmed reservation information before boarding the ships. Reservations should be made in advance to guarantee accommodation and avoid processing delays. No one will be allowed on the ships without a reservation and full-payment.

The room rates include accommodation, meals, standard shipboard gratuities, government taxes and fees, per room per night. All other charges, including any bar charges or mini-bar charges are the responsibility of the guests and will have to be paid up-front through their Onboard Expense Account.

Check-in Requirements:
In order to check-in, guests may present confirmation of reservation and a valid form of identification.

In order to pay for additional expenses that may be incurred while onboard, an Onboard Expense Account will have to be created. To do so each person is required to show the identification which they used to register and present a credit card. In lieu of a credit card, a cash deposit can be placed on your account to cover your additional expenses. Traveller’s checks and debit cards with a Visa or MasterCard logo may also be used.
